SUBJECT: Resolution 2002-037 , Award of Contract for Records Management Software

The Finance Department solicited and opened proposals for the Records Management software acquisition in May of 2001. The Request for Proposals was advertised in the Peninsula Clarion, Seward Phoenix Log, Homer News and Anchorage Daily News.

The software targeted was to provide integrated management tools for the records retention and information management program of the borough. Further, the software was required to operate on existing and planned computer hardware configurations within the borough. The software was to be Windows based and accessible from any borough department on-line. The scope of work includes acquisition of the new software, data migration, installation, training services, and support.

Four proposals were received and evaluated. Two of the proposals were offering far less than the solicited capabilities. Of the remaining two, Select Technologies, Inc. received the highest rating and was the more cost effective of the two proposals. Selection and negotiations occurred in March of 2002.

Funding for the project is allocated in the Borough Clerk's Records Management Budget. Expenditures for the project will be charged to Account Number 100.11140.RECOR.42120.
